Privacy notice

This notice explains how HelloBoost AI ("we", "us") collects and uses personal information when you visit helloboostai.com, ask us to call you, or speak to us. If you have any questions, email george@helloboostai.com.

Who we are

HelloBoost AI helps businesses use AI to save money and win more work. We are the data controller for the information described here. Contact: George Shaker, george@helloboostai.com.

What we collect

• Details you give us: your name, role, company, number of staff, work email, phone number, preferred language and anything you tell us about your business.
• Your consent to be called, including the date and time you gave it.
• Call recordings, transcripts and summaries when you speak to us, including to our AI assistant.
• Emails you send us and our replies.
• Business contact details that are publicly available, such as a company's main phone number or general email address, when we research businesses we think we can help.

How we use it and why

• To call you about our services, including calls made by an AI voice assistant. We rely on your consent, which you can withdraw at any time.
• To book and hold meetings and to provide our services if you become a client. We rely on steps taken at your request before entering a contract, and on the contract itself.
• To contact businesses by email about our services, and to keep records of who has asked us not to contact them. We rely on our legitimate interests in growing our business, balanced against your rights; you can opt out at any time.
• To improve the quality of our calls using recordings and transcripts. We rely on our legitimate interests; we tell you at the start of each call that it is recorded.

Our AI assistant

Some calls are made by Sara, our AI voice assistant. She always tells you she is an AI at the start of the call. You can ask to speak to a person at any time. Sara does not make decisions about you that have legal or similarly significant effects; she answers questions, gathers information and books meetings.

Who we share it with

We use trusted service providers who process data on our behalf, under contracts that require them to protect it. They include providers of email and document storage (Google Workspace), automation (Zapier), voice calls (Retell AI), scheduling (Cal.com) and electronic signatures. Some are based outside the UK, including in the United States; where that happens we rely on UK-approved safeguards such as the UK International Data Transfer Addendum or the UK–US data bridge. We never sell your information.

How long we keep it

• Call recordings and transcripts: up to 12 months.
• Enquiry and contact details of people who don't become clients: up to 24 months from our last contact.
• Client records: for as long as we work together and then as long as the law requires (usually six years for financial records).
• Opt-out records: kept so we can respect your wishes.

Your rights

You have the right to access your information, correct it, ask us to delete it, restrict or object to how we use it, withdraw consent, and move it to another provider. To use any of these rights, email george@helloboostai.com. We will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

Changes to this notice

We may update this notice from time to time. The date at the top shows when it was last changed.
